At OTIF AB we value and respect the privacy and integrity of candidates, employees, partner consultants, and others with whom we come into contact. In this Privacy Policy we explain how we collect, process, store, and use personal data in our business. Please note that we may update this policy; the latest version will always be published here.
Why we need personal data
OTIF AB is a consultancy and recruitment company and our business relies on individuals sharing their personal data with us. For legal reasons, we are only able to provide our services to individuals who are willing to share their personal data with us.
How we handle personal data
OTIF AB has the appropriate organization, tools, and processes in place to protect personal data from unauthorized access, loss, and misuse. We do not automatically collect, process, or store personal data and we do not transfer personal data internationally. OTIF AB is responsible for all data control and we ask for consent before sharing personal data with third parties. Our website does not use cookies.
Legal obligations
OTIF AB may store personal data beyond the scope of this privacy policy due to our legal obligations as an employer and as required by the Swedish Tax Agency.
The details
Candidate data may include name, email, phone number, address, photograph, immigration status, employment history, education history, copies of diplomas/certificates, and the names and phone numbers of references. The data are used for:
- Evaluation and verification of merits
- Preparation of proposals to customers
- Preparation of employment contracts
- Communication
Candidate data are deleted after six months, or earlier if OTIF AB or the candidate chose to terminate the application process.
Partner, customer, and supplier representative data may include name, email, and phone number. The data are used for:
- Proposals
- Contracts
- Invoicing and payments
- Communication
Personal data about partner, customer, and supplier representatives are kept up-to-date for the duration of the business relationship. The data are deleted one year after the termination of the business relationship.
Employee data may include name, email, phone number, personal number, address, photograph, bank account details, employment history, education history, copies of diplomas/certificates, and the name and phone number of next of kin. The data are used for:
- Proposals to customers
- Salary payments
- Access cards
- Communication
OTIF retains and updates employee data during the employment term. We delete the employee data following termination of employment.
Partner consultant data may include name, email, phone number, personal number, photograph, employment history, and education history. The data are used for:
- Proposals to customers
- Access cards
- Communication
OTIF retains and updates partner consultant data during the validity of the respective contract. We delete the partner consultant data upon the expiration or termination of said contract.
